In this video we explain why this announcement, why the letter that we sent to the Board of Smart Belgium?

Smart Belgium has been questioning for some time our cooperative, Smart Iberica. In February 2020 they sent two auditors to learn what the real situation of our cooperative was. With full transparency, we showed every paper, answered every questions. We were telling the truth; we knew our project.

At the 2022 General Assembly of Smart Be, which our president Mapi attended, she experienced a very unpleasant moment when the partners of Smart Belgium openly questioned our project.

In the last General Assembly held in June 20th, 2023, one of the members of our Governing Council, Emek Filogullari underwent a difficult situation when, unexpectedly, members of Smart Belgium began to slander Smart Iberica. The information they provided was false despite the trustworthy information that we have been sharing with them. The next day we received an email from a person who is both member of Smart Belgium and Smart Iberica: he was lost and felt deceived by Smart Belgium. A colleague of his who had participated in the General Assembly was alarmed by the alarming data and aggressive tone used by Smart Belgium to talk about us. We will not allow discrediting and defamation by those with whom we are supposed to be building a European network based on trust and solidarity.

The only communication from Smart Be about the conditions of the SIDF was this letter which you can download. It was not 100% guaranteed because of the clause below. That the common fund exceeded 11%. We also put our mail sent at that time that we would review the budget, and we did. From 384.000 € we requested 341.000 €.


But even if it wasn’t in writing, we listened to each of Smart Be’s advice and recommendations, which we are highlighting here today.

Response from the Smart Be team, but not from the board of directors to whom we addressed

Dear Mapi,  

Dear SmartIb team,  

I am writing to you on behalf of all the SmartBe team.  

We are very sorry that you feel this way and sense a climate of tensions, a lack of kindness and hospitality: it has never been, and it will never be our attention that you feel like this, at all.  

We completely deny any smear campaign, to convey false information, to spread false rumours, to make any accusation against your or to discredit you and/or SmartIb.  

We understand that you could feel disappointed by the communication made during the Assembly regarding our decision to stop financing SmartIb but as you know well this decision was taken last year by SmartBe Board of Directors. The decision was based on facts that reflected the situation of SmartIb in 2022 and they were not disputed since communicated. We obviously see that you have made big efforts, however, the results achieved to date still do not meet our financing criterias, of which we are accountable solely to our General Assembly. Those are defined to respect the board’s duty to manage the collective means of production, including cash, to the best interest of the community of SmartCoop’s shareholder. 

Any other impressions perceived or information that you might have listened during the General Assembly could either be a misunderstanding or the opinion of a particular person, but it is not SmartBe position. Therefore, we gently ask you to discontinue the controversy campaign initiated by the email you sent.  

We also remind you that it is our common duty, in the name of Smart BE as a brand-owner and Smart EU network, to protect our brand and its reputation.  

We acknowledge your absolute dedication to the SmartIb project and to your members and we thank you all for this and for the work developed and we encourage you to continue this way.

Dear Maxime,
Dear SmartBe Colleagues, 

My name is Rocío Nogales Muriel and although we haven’t met in person yet, I’ve been a member of SmartIb since it creation in 2013. I was a part of the launch of Smart in Spain after getting to know the model firsthand in Belgium through some research I conducted. I worked with the previous management of SMartIb as representative of the membership at the Managing Council although I left after several years due to substantial disagreement with the former president and closest collaborators. I recently came back to the Managing Council of SmartIb, again as representative of individual members, to ensure that the cooperative remained true to its values and support the radically new managerial team in the huge task in front of them. This introduction is to share with you my profound respect and admiration for a model that I’m determined to contribute to preserve, together with an incredible community of people within and outside the cooperative.

I’ve followed very closely, together with other stakeholders in Spain, the consolidation of SmartIb as well as the evolution and several iterations of SmartEU. I even devoted a long research period to studying the replication of Smart across Europe and SmartEU: this period gave me the opportunity to meet several staff and board members of SmartBe as well as representatives from other countries and understand the complexity of such undertaking.

Getting back to your response, it is a pity that you consider a “controversy campaign” the huge effort that we made to stick to facts and be transparent with our own membership base, with SmartBe, and with the rest of colleagues at SmartEU, as well as stakeholders beyond to whom we also feel accountable. It took a lot of extra hours and effort from all of us to structure, translate and publish that information, so we request that it is given the importance that it has not only for us but for the entire Smart community.

I’m afraid that the point of view expressed by the SmartBe Board member at the General Assembly cannot be considered on any basis as “the opinion of a particular person”.  We appreciate your recognition about our “big efforts” but there is a major flaw in your logic when you mention that they “still do not meet our financing criterias”. We want to make very clear that this is not a discussion point for us: we assumed SmartBe’s abrupt decision without any questioning and our General Assembly has already reiterated it formally. However, as we included in our last letter and all the information summarized for you in three languages, we cannot accept that this decision is justified on the ground of false information. Enough.

Of course, you’re responsible for the way you manage SmartBe can accountable to its members and you can take the decisions needed to ensure its financial sustainability but the reasons explaining decisions have to be truthful and transparent. Our efforts only show progress and commitment toward the four “guidelines” and this despite the fact that these guidelines were never formally explained in detail in any document agreed between the two parties. As a matter of fact, we have been awaiting a formal document from SmartBe detailing such criteria since last November as an intermediate step to clarify the situation of SmartIb vis-à-vis SmartBe but, most importantly, with the rest of our SmartEU colleagues.

In addition, there were flagrant mistakes in the information presented to your membership in the course of the SmartBe accounts workshop where it was stated that SmartIb had received 700,000€ from SmartBe in 2021, among others (please see Annex in the attached letter).

For all of this, I’m attaching a letter signed by all of us at the management and day-to-day operations of SmartIb reiterating our well-reasoned demands and requesting a meeting with your Board and SmartEU in October so the facts can be put on the table. If, as you state, it has never been the intention of SmartBe to have a climate of tensions, a lack of kindness and hospitality, then we urgently need constructive and transparent discussion for the sake of the future of a human, transparent and (ideally) co-governed SmartEU.

The summer holidays are around the corner, but please, together with the SmartBe Board, let us know when it would be convenient for you to hold such meeting. We could appoint one person from our teams to build together the agenda. We believe that such occasion will benefit the future of Smart across the countries where it currently exists.

1. FINDING OTHER SOURCES OF FINANCING

To find self-financing, we have chosen to optimize our resources and monetize them. This way, we generate income that brings us closer to sustainability. Examples our structure services:

In 2020, in the middle of the pandemic, and with 87% of the activity cancelled, we called the ethic bank Fiare to find a financing solution.

We negotiated and talked to them openly, showing our accounts without fear. Fiare decided to support us by giving us a credit policy, which made it possible for us to avoid requesting funds from Smart Belgium that year.

Three years later, Smart Iberica still has an active credit policy that we renew year after year.

2- SMART FEE

At the meeting held in regard to SiDF (Smart International Found) to present Smart Iberica, we explained our strategic plans for the Smart fee where members contribute to the cooperative in each project as a way to cover the operating expenses and contributing to its sustainability.

The image on the right shows the slide with the real scenario. We always have been honest by telling the facts. Please observe the difficulty to increase the Smart Fee

That meeting and the subsequent ones helped us to learn about the different European contexts and how to function in each of them. Thank you (our Smart Eu collegues) for your generosity in telling the story.

Email from the labor inspector of the Spanish Government with the Ministry of Labor’s criteria regarding self-management by members in worker cooperatives. The regulations state that Cooperativas de Impulso Empresarial are characterized by structure members providing services to user members. With a self-management tool, it would not be considered a worker cooperative.

How do we prepare for automation?
What is automation?

Automation is different from digitization. The decentralization of Smart Ibérica has led us to work in a digitized manner since 2013. For that reason, we have our own Office 365 tool. We also have a system for digitized documentation that allows the entire structure to access documents. Additionally, we were the first cooperative in Spain to regulate online assemblies with certified voting in our bylaws in 2013.

In 2015, with the unchecked and excessive growth of Smart Ibérica, and with a tremendous risk to the project, we began studying automation. We know that automating projects is synonymous with productivity. However, we don’t perceive this automation as self-management but rather as a means to reduce the time spent by cooperative members, whether they are user members or structural members. In this process, there is no «you» and «I,» but rather an «US.»

Analyzing the different automation methodologies and the advancement of PMI (Project Management International), which advocates for automation as the process of optimizing personnel’s time to focus on what machines cannot do.

Automation through technology: We have automated the following areas:

The first video created to explain the entire automation process is over 2 hours long. Let’s give you an example of payroll automation, but we also have automation for:

  • Automatic sending of cooperative activity settlements from the CRM.
  • Automatic sending of unemployment certificates for individuals to apply for benefits.
  • Monthly invoices are automatically generated and sent to clients.
  • Automated payment management, including sending reminders for unpaid invoices.
  • Automatic sending of invoices to clients.
  • Automatic sending of partner documentation.
  • Electronic invoicing.
  • Automatic submission of invoices to tax authorities, eliminating the need to file 3 tax forms.
  • Duplicate invoices with just one click.
  • Electronic invoice
  • etc.

The cost of the program is €485 per month.

In the second video, we have simulated the automation explained in Spanish, with instructions in English on what is being done. Smart Ibérica has automated its processes to perform administrative tasks on a massive scale and thus avoid human errors.

In this section, we are going to show the economic evolution of Smart Ibérica. We will start by providing the documents sent to Smart Belgium, which cover the period from 2013 to the present moment. On numerous occasions, we have heard that Smart Ibérica is getting worse every year, and it is something that we have defended and documented.
